Faster Searches with Copernic Desktop Search
Making a file system composed of folders containing other folders that contain your files requires a lot of planning and discipline to maintain. The problem with this approach is that a lot of user input is required to maintain the self documenting nature of this type of file organization. Although this approach may work perfectly well if its only yourself who is responsible for all the files in your computer, a multi-user system/networked environment lays the best planned file system awry.
The most obvious solution to this problem is to let the computer sort out the problem of folder/file organizing. Instead of relying on a folder structure as a basis for documenting a file system, software can be used to organize files at a higher level than the directory structure, and use much more powerful descriptors to organize your files thus making file searching a snap.
Software can use metadata, tags and other descriptors as a means to index the contents of your hard disk. Indexes are the key to faster searches and works similarly to how a book index makes searching content faster. Copernic Desktop Search or CDS categorizes your files using metadata and indexes the results in the background.
Creating the master index for all the files happens only once after installation of Copernic Desktop Search. Indexing may take a while depending on the number of files, the types of files to be indexed, size of hard disk, and number of hard disks in your computer. Afterwards, the software runs unobtrusively the background, adding or removing indexes depending whether you are creating a new file or deleting one.
Coperning Desktop Search really proves its usefulness once you begin searching for a file that you know is inside your computer. The user interface can start out as a minimal text field that is anchored in your computer's task bar. Type in a keyword into the text field. The keyword can be anything – part of a file name or a word that you know is present in the file. Instantly, as in seconds, the Copernic Desktop Search window is filled with relevant search results. Search results come out much more faster than the default non-indexed search feature in Windows. You can tailor what file types are allowed to be indexed. If your job involves basically text and numbers, then you only allow these file types to be indexed: MS Word documents (doc), MS Excel spreadsheets (xls), Open Office documents (odt), Adobe Acrobat files (pdf) and other textual document types. By limiting the number of file types to be indexed, you make your index smaller thus leading to faster searches. If you include multimedia file types to be included in the index, Copernic Desktop Search allows you to preview the result set. For example, an MP3 file can be played internally in CDS thus preventing screen clutter. Preview a graphic file? CDS can show it without using another software to display the file's content.
Copernic Desktop Search comes in three version. The home version is free and allows the most helpful searching/organizing options for a home computer. The home version allows searching of email stored in email folders. If you have a networked home, network shares can be searched by CDS by mapping the share as a network drive. The professional edition of CDS allows indexing of networked drives while the corporate edition allows searching of files in Lotus Notes.
Copernic Desktop Search is a very useful tool for anyone who knows how long it takes to search today's hundred gigabyte sized hard disk.
